Daily Procedures

Our recommended guidelines to achieve success.

It is advice to follow these steps in the mentioned order for better results:

  1. Confirm today's appointments via seller’s preferred method of communication. For each of them:
    1. Restate time of appointment ⏰
    2. Dealership address 🏢
    3. What seller must bring (title 📃, keys 🔑, etc.).
    4. Steps after the sale.
    5. Notify the appraiser of appointment 📲
    6. Prepare for seller’s arrival.
    7. Arrange transportation if needed 🚗
  2. Inside Notifications ↗️, check for any missed or unanswered notifications that may have occurred since user last logged in.
    1. Check voicemails and texts.
    2. Return calls and texts as applicable.
  3. Complete any tasks that are due/overdue, you can do this from To Do ↗️.
    Follow this task schedule to know if setting another task is necessary:
    1. Set To Do tasks for days 2, 4, 8, 12, 20, 24, 30, 45, 60 and 90.
  4. Initiate contact with new listings in Not Contacted view from Inventory ↗️ by following these steps:
    1. If phone is available, contact via phone. If no answer, send text.
    2. If no phone is available, message through the original listing platform.
    3. Once contact is initiated:
      1. Add notes to the VDP
      2. Tag your name
      3. Set next task
      4. Mark listing as Contacted if not automatically changed by the system
  5. Review listings under the Contacted view and re-engage with sellers that may need additional follow-up from the previously set tasks.
  6. Check for listings that did not have a task set but should be followed up with to find out if the status of the seller has changed.
  7. When time allows, review and pick 5-10 inactive listings with a phone number to reach out to per day:
    1. View listings in the Price Change view and initiate contact with those who have had a significant decrease in price.
    2. Review listings in Offers Made Last 30 Days view and reach out to anyone whose offer from you is soon to expire.
  8. Confirm the next mornings appointments as indicate in point 1.
  9. Close out the day’s text messages. Let the seller know you’re leaving for the day and when to expect next contact. Review the next day’s appointments and appraisers' availability.
